Privacy notice

This notice explains what we do with personal information collected through this website, why we do it, and what you can ask us to do about it.

Last updated 7 October 2026

Who we are

Padel Proof is a trading name of Marmaduke Creative. We are the data controller for personal information collected through this website, which means we decide why and how it is used.

You can reach us at growth@padelproof.co.uk, or by post at First Floor, The Congleton Market Quarter, 29–31 Mill Street, Congleton, CW12 1AF.

We are registered with the Information Commissioner's Office under registration number ZB789068.

What this notice covers

This notice covers information we collect when you visit this website or send us an enquiry through it.

It does not cover the customer data we handle for client venues. In that work the venue is the controller and we act as its processor, and how that data is handled is set out in the agreement between us rather than here.

What we collect

  • When you send an enquiry: your name, your work email address, your venue name, and whether you would rather we replied by email or on WhatsApp. If you choose WhatsApp we also ask for your mobile number, because we cannot message you without one; if you choose email we do not ask for it and do not hold one. You can also give us the number of courts on site and your message if you wish. We record that you ticked the consent box, and when. If you used the value calculator earlier in the same visit, the figures you entered there are sent with your enquiry, and the form tells you so before you send it.
  • Your IP address, briefly. It is used only to limit how many times the enquiry form can be sent from one place, at most five times in ten minutes. It is held in the server's memory for that window and is not written to a database.
  • When you use the value calculator: your email address, the fact that you ticked the consent box, and the three figures you entered, which are your court count, your off-peak hourly rate and your estimated off-peak occupancy. The calculator runs in your browser, and nothing is sent to us unless you choose to enter your email.
  • If you arrived through one of our adverts or a tracked link: the campaign details in that link, the advert's click reference, and the date you arrived. These are kept in your browser and reach us only if you send an enquiry or use the calculator.
  • Your cookie choice, stored in your own browser rather than by us. See the section on cookies below.

We do not ask for special category data, such as health or ethnicity. Please do not put anything sensitive in the message box.

Why we use it, and our legal basis

  • To reply to your enquiry and talk about whether we can help your venue. Our legal basis is legitimate interests: you have asked to hear from us, and responding is what you would expect.
  • To understand how the site is used and to run advertising. Our legal basis is your consent, given through the banner when you first arrive. You can withdraw it at any time, using the control at the end of this notice.
  • To know which of our adverts and links lead to enquiries, so we spend on what works. Our legal basis is legitimate interests.

Who we share it with

We do not sell your information. We use the following providers, each of which handles it on our instructions:

  • Make, which carries your enquiry from this website to the places our team works. The form is sent from our server, not from your browser.
  • Monday.com, our customer relationship management system, where enquiries are recorded so they are not lost.
  • Our email provider, which delivers the enquiry to the team.
  • WhatsApp Business, operated by Meta, which we may use to reply if that suits you better than email.
  • Google, which provides Tag Manager, Analytics and Ads. None of it loads unless you accept. If you have accepted and you enter your email address in the value calculator, Google Ads also receives a scrambled (hashed) form of that address, which it uses to tell whether one of its adverts led to the enquiry.
  • Microsoft, which provides Clarity. It records how pages are used, including mouse movement, clicks, scrolling and the pages visited, so we can see where the site is confusing and fix it. It does not load unless you accept.
  • Meta, which provides the advertising pixel. It does not load unless you accept.
  • LinkedIn, which provides the Insight Tag for advertising on LinkedIn. It does not load unless you accept.
  • Railway, which hosts this website and keeps the usual server logs.

Cookies and local storage

No analytics or advertising tag loads until you accept. That is stricter than the usual approach, where trackers load first and are told to hold back. Here the analytics container is simply absent from the page until you say yes.

Your choice itself is kept in your browser's local storage, under the name "pp-consent". It is not a cookie and it is not sent to us.

If you arrive through one of our adverts or a tracked link, the campaign details from that link are kept in your browser's local storage under the name "pp_attribution", whether or not you accept. It is not a cookie, and it is not sent anywhere except to us, with a form you submit. It is discarded after 90 days, or straight away if you change your choice at the end of this notice.

If you accept, Google Tag Manager loads, and the tags inside it, which are Google Analytics, Google Ads, the Meta pixel and the LinkedIn Insight Tag, may set cookies in the ordinary way.

Accepting also loads Microsoft Clarity, which sets its own cookies in order to tell one visit from another.

If you decline, none of that loads, and the site works exactly the same.

Sending information outside the UK

Several of the providers listed above are based outside the UK, mainly in the United States. Where information reaches them, we rely on the safeguards they have in place for UK transfers, such as the UK addendum to the standard contractual clauses or the UK extension to the EU to US Data Privacy Framework.

How long we keep it

  • Enquiries: twenty four months from our last contact with you, then deleted. If you become a client, your information is kept under our agreement with you instead.
  • Analytics and session recordings: for the period set in the relevant Google or Microsoft product, which we keep to the shortest option that is useful.
  • Advert details in your browser: up to 90 days from your last visit through an advert. Once sent with an enquiry, they are kept with it, as above.
  • Your cookie choice: in your browser until you change it or clear your browser data.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the information we hold about you
  • correct anything that is wrong
  • delete it
  • limit what we do with it, or object to what we are doing
  • send it to you, or to someone else, in a portable form
  • stop using it for marketing, at any time and for any reason

To do any of these, email growth@padelproof.co.uk. We will respond within one month. Exercising these rights is free, and we will not treat you differently for asking.

Where we rely on your consent, you can withdraw it at any time. Withdrawing does not affect anything done before you withdrew.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we have the chance to put it right.

You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113. You can go to them at any point, including before raising it with us.
